Every brand asks the same first question: what will the store cost to fit out? The honest answer is that a per-square-foot figure only means something once the scope is fixed. This guide explains what goes into a retail fit-out budget in India, which line items move the number most, and how to compare quotations fairly.
What a retail fit-out budget usually covers
A fit-out quotation prepares a bare or warm-shell unit for trading. Depending on the agreed scope, it typically includes:
- Civil and dry-wall work: partitions, trial rooms, stockroom walls, floor screeds and any structural openings approved by the landlord.
- Flooring, ceilings and wall finishes: tiles, stone, timber, vinyl, gypsum or metal ceilings, paint, wallpaper and cladding.
- MEP services: electrical distribution, lighting, data, HVAC modifications, fire detection and sprinkler adjustments, and plumbing where needed.
- Shopfittings and display fixtures: wall systems, gondolas, cash counters, shelving, tables and back-of-house storage.
- Facade and signage: shopfront glazing, entrance portal, brand signage and window display structures.
- Site management and handover: supervision, safety, cleaning, snagging and as-built documentation.
Items that usually sit outside the fit-out contract include rent and deposits, the mall’s fit-out deposit and charges, GST, technology hardware, security systems, mannequins, loose furniture bought by the brand and professional design fees. Confirm each one in writing so nothing falls between contracts.
The six factors that move the cost most
1. Store category and finish level
A value-format store with standard finishes and modular shelving costs far less per square foot than a couture boutique with hand-finished surfaces, or a technology experience centre with integrated screens and demonstration tables. Material specification is the single largest variable.
2. Shell condition
A warm shell with HVAC, sprinklers and a finished floor needs less work than a bare shell. Before quoting, check what the landlord hands over: power load, AC tonnage, ceiling height, drainage points and fire services.
3. Fixture quantity and construction
Shopfittings can account for a large share of a retail budget. Steel-framed fixtures with powder coating, veneer or lacquer finishes and integrated lighting cost more than off-the-shelf systems, but last longer and keep a brand consistent across stores. 4. Location and site access
Mall projects add fit-out deposits, night-only working hours, material entry slots and approval cycles. High-street stores may need facade work, local permissions and more security. Projects outside metro cities can carry extra logistics and travel costs.
5. Programme pressure
A compressed timeline needs more labour, parallel working and faster material procurement. If the opening date is fixed by a mall launch or season, plan the budget for it rather than discovering it during execution.
6. Repeat volume

How to read a fit-out BOQ
A bill of quantities (BOQ) lists each item, its unit, quantity and rate. When comparing quotations:
- Check that every bidder priced the same drawings and specification revision.
- Look for provisional sums and “client supply” items that make one quote look cheaper.
- Compare fixture specifications line by line: board grade, steel gauge, finish and hardware.
- Ask what is excluded: approvals, mall charges, MEP testing, debris removal, GST.
- Confirm the payment schedule, defect liability period and how variations are priced.
Common budgeting mistakes
The most expensive mistakes are scope gaps, not high rates: an HVAC modification no one priced, mall approval delays that push work into overtime, or fixtures redesigned after manufacturing has started. Freeze drawings and samples before production, and keep one contractor accountable for site and fixtures together.

Is the fit-out cost per square foot the same across India?
No. Labour rates, material availability, mall requirements and logistics vary by city and site. A rate from one project is a poor guide for another unless the scope and finishes match.
Does the fit-out cost include fixtures?
It depends on the contract. In a turnkey retail fit-out, display fixtures and shopfittings are normally included. If fixtures are bought separately, make sure the interface between site work and fixture installation is clearly assigned.
How can I get an accurate estimate?
